This policy explains what personal information Heartbeat Medical Services Ltd collects through this website, why we collect it, and what you can do about it. It covers this website only.
Please do not send us health or medical information through this website. We do not ask for it, and we do not need it in order to answer an enquiry or prepare a quotation. If we need clinical details to plan a booking, we will arrange a safer way to collect them.
Who we are
Heartbeat Medical Services Ltd provides non-emergency patient transport, event medical cover and medical training in the United Kingdom.
We are registered in England and Wales under company number 10204178, with a registered office at Grantham, Lincolnshire, NG31 8GX. We are the data controller for the information described in this policy, which means we decide how and why it is used.

What we collect
When you send us an enquiry
We collect what you type into the enquiry form. Depending on which form you use, that is:

The message box is free text, so please only put in it what you are happy for us to hold. See the note at the top of this page about medical details.
When you browse the site
We use privacy-friendly analytics to understand how the site is used. This records things like which pages were viewed, roughly which part of the country the visit came from, and what kind of device and browser were used. It is not used to identify you personally, and we do not use it for advertising.
Why we use it, and our lawful basis
We use your details for one purpose: to reply to your enquiry and, where relevant, to prepare a quotation.
Our lawful basis is your consent, which you give by ticking the consent box before you send the form. You can withdraw that consent at any time by emailing us — we will then delete your enquiry unless we have to keep it as part of a booking record (see how long we keep it). Withdrawing consent does not affect anything we did with your details before you withdrew it.
We do not add enquiry details to a marketing list, and we will not send you marketing unless you separately ask us to.
Who we share it with
We do not sell your information, and we do not share it for advertising.
Your enquiry is handled by our own staff. It is stored on systems run by our website host and our email provider, who process it on our instructions and are not permitted to use it for their own purposes. We will only disclose information to anyone else where the law requires it.
How long we keep it
- Enquiries that do not lead to a booking are deleted after 12 months.
- Where an enquiry becomes a booking, your contact details are kept with the associated business records for 7 years, so we can meet our accounting and insurance obligations.
- Records of your cookie choice are kept for 365 days, the same period the choice itself lasts.
Cookies and analytics
Cookies are small files stored on your device. We use them in two ways:
- Strictly necessary — needed for the site to work and to remember your cookie choices. These cannot be switched off.
- Analytics — helps us see how the site is used so we can improve it. These are optional, and only set if you accept them.
You can change your choices at any time through the cookie banner, or by opening Consent Preferences from the bottom of any page. Refusing optional cookies will not stop you using any part of this site.
